JOB TITLE:    Medicaid Secretary

 

EXEMPT:  No                                                                

SALARY LEVEL:  23                                                      

LOCATION:  District Office                                           

TERM OF EMPLOYMENT:  12-Month

REPORTS TO: Special Education Director                                                

 

SUMMARY:   To ensure the efficient operation of the Special Education Office so that the department can make its maximum contributions to District-wide special education and MEDICAID programs on a 12-month basis.

 

REQUIRED QUALIFICATIONS:

  • High school diploma, GED or equivalent
  • Social Security Card
  • Proof of immunity to Measles and German Measles
  • Valid picture ID
  • Fingerprint/background clearance (upon employment)
  • Minimum three years job-related experience 

PREFERRED QUALIFICATIONS:

  • Bilingual/biliterate in both Spanish and English

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  1. Maintains and updates all MEDICAID files, forms, and databases, meeting all prescribed quality and time requirements
  2. Coordinates/provides all MEDICAID required training, including documentation of that training
  3. Supports the other special services secretaries with all special education office services to include, but not limited to preparing/updating files, entering data on special education related databases, answering phones, receiving/sending special education records, etc.
  4. Attends meetings as may be required for the purpose of receiving and/or conveying information
  5. Child Find Support with appointment scheduling and communication with parents/families
  6. CPR/First-Aid documentation and record keeping
  7. Monitoring early childhood tracking system for the AZ Dept. Of Education
  8. Perform such other duties and assumes such other responsibilities as may be assigned by the Superintendent/Designee

 SKILLS, KNOWLEDGE AND ABILITIES:  

Skills are required to perform multiple, technical tasks with a need to occasionally upgrade skills in order to meet changing job conditions.  Specific skills required to satisfactorily perform the functions of the job include: performing standard clerical procedures; utilizing standard office equipment; and utilizing pertinent software.

 

Knowledge is required to perform basic math, including calculations using fractions, percents, and/or ratios; read technical information, compose a variety of documents, and/or facilitate group discussions; and analyze situations to define issues and draw conclusions.  Specific knowledge required to satisfactorily perform the functions of the job includes:  pertinent codes, policies, regulations and/or laws.

 

Ability is required to schedule a significant number of activities, meetings, and/or events; routinely gather, collate, and/or classify data; and use basic, job-related equipment.  Flexibility is required to independently work with others in a wide variety of circumstances; work with data utilizing defined, but different processes; and operate equipment using defined methods.  Ability is also required to work with a significant diversity of individuals and/or groups; work with data of widely varied types and/or purposes; and utilize specific, job-related equipment.  In working with others, independent problem solving is required to analyze issues and create action plans.  Problem solving with data requires independent interpretation of guidelines; and problem solving with equipment is limited.  Specific abilities required to satisfactorily perform the functions of the job include: being attentive to detail; communicating with diverse groups; making decisions independently; maintaining confidentiality; meeting deadlines and schedules; and maintaining detailed records.

 

RESPONSIBILITY:

Responsibilities include: working under limited supervision using standardized practices and/or methods; leading, guiding, and/or coordinating others; and operating within a defined budget.  Utilization of significant resources from other work units is sometimes required to perform the job’s functions.  There is a continual opportunity to significantly impact the Organization’s services.

 

WORK ENVIRONMENT: 

The usual and customary methods of performing the job’s functions require the following physical demands:  occasional lifting, carrying, pushing and/or pulling; some stooping, kneeling, crouching and/or crawling; and significant fine-finger dexterity.  Generally the job requires 70% sitting, 15% walking and 15% standing.  The job is performed in a generally clean and hazard-free environment and in varying atmospheric conditions.
