JOB TITLE: Medicaid Secretary

LOCATION: District Office
TERM OF EMPLOYMENT: 12-Month
REPORTS TO: Special Education Director
SUMMARY: To ensure the efficient operation of the Special Education Office so that the department can make its maximum contributions to District-wide special education and MEDICAID programs on a 12-month basis.
REQUIRED QUALIFICATIONS:
- High school diploma, GED or equivalent
- Social Security Card
- Proof of immunity to Measles and German Measles
- Valid picture ID
- Fingerprint/background clearance (upon employment)
- Minimum three years job-related experience
PREFERRED QUALIFICATIONS:
- Bilingual/biliterate in both Spanish and English
Such alternatives to the above required & preferred qualifications as the Superintendent/Designee may find appropriate and acceptable
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Maintains and updates all MEDICAID files, forms, and databases, meeting all prescribed quality and time requirements
- Coordinates/provides all MEDICAID required training, including documentation of that training
- Supports the other special services secretaries with all special education office services to include, but not limited to preparing/updating files, entering data on special education related databases, answering phones, receiving/sending special education records, etc.
- Attends meetings as may be required for the purpose of receiving and/or conveying information
- Child Find Support with appointment scheduling and communication with parents/families
- CPR/First-Aid documentation and record keeping
- Monitoring early childhood tracking system for the AZ Dept. Of Education
- Perform such other duties and assumes such other responsibilities as may be assigned by the Superintendent/Designee
SKILLS, KNOWLEDGE AND ABILITIES:
Skills are required to perform multiple, technical tasks with a need to occasionally upgrade skills in order to meet changing job conditions. Specific skills required to satisfactorily perform the functions of the job include: performing standard clerical procedures; utilizing standard office equipment; and utilizing pertinent software.
Knowledge is required to perform basic math, including calculations using fractions, percents, and/or ratios; read technical information, compose a variety of documents, and/or facilitate group discussions; and analyze situations to define issues and draw conclusions. Specific knowledge required to satisfactorily perform the functions of the job includes: pertinent codes, policies, regulations and/or laws.
Ability is required to schedule a significant number of activities, meetings, and/or events; routinely gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to independently work with others in a wide variety of circumstances; work with data utilizing defined, but different processes; and operate equipment using defined methods. Ability is also required to work with a significant diversity of individuals and/or groups; work with data of widely varied types and/or purposes; and utilize specific, job-related equipment. In working with others, independent problem solving is required to analyze issues and create action plans. Problem solving with data requires independent interpretation of guidelines; and problem solving with equipment is limited. Specific abilities required to satisfactorily perform the functions of the job include: being attentive to detail; communicating with diverse groups; making decisions independently; maintaining confidentiality; meeting deadlines and schedules; and maintaining detailed records.
RESPONSIBILITY:
Responsibilities include: working under limited supervision using standardized practices and/or methods; leading, guiding, and/or coordinating others; and operating within a defined budget. WORK ENVIRONMENT:
The usual and customary methods of performing the job’s functions require the following physical demands: occasional lifting, carrying, pushing and/or pulling; some stooping, kneeling, crouching and/or crawling; and significant fine-finger dexterity. Generally the job requires 70% sitting, 15% walking and 15% standing. The job is performed in a generally clean and hazard-free environment and in varying atmospheric conditions. |
